Open Play Management Software: The Queue App Fixes the Night, Not the Business
A free rotation app runs a fair Tuesday night and then forgets everything that happened. Here are the four things a bench phone cannot do for a club, the three ways operators run open play today, and what to check before you buy.
It is 7:40 on a Tuesday. Thirty four people have walked into a six court hall for drop in play. The front desk has a clipboard with maybe twenty two legible names on it. Somebody's phone is propped against a water bottle running a free rotation app, and the person holding that phone has not played a game in forty minutes because they are the one running the queue.
The night goes fine. People play, nobody argues, everyone leaves happy. Then the lights go off at ten and the club knows almost nothing about what just happened. Who paid. Who owes. Who was a member and who was a first timer worth calling back.
That second gap is the one open play management software is supposed to close. Most of the tools sold for open play only close the first half of it.
What a queue app gets right
Credit where it is due. The free rotation apps that appeared over the last two years solved a real problem, and they solved it well. Fair rotation is harder math than it looks. Who has sat out longest, who has already partnered with whom twice, how to keep one beginner off a court with three advanced players. A paddle rack cannot answer any of that. A whiteboard can, but only if one person gives up their entire evening to stand at it.
If your Tuesday is sixteen people on two courts, a phone on the bench is a fine answer. Do not buy software for that.
Where it stops being enough
The trouble starts when drop in stops being a hobby and starts being a revenue line. A rotation app running on a phone cannot do four things your club needs.
It does not take money. Somebody at the desk still has to remember that Priya has three sessions left on her ten pack, that Marcus paid cash last week and has not paid tonight, and that the two people who walked in at 8:15 owe a drop in fee nobody collected. On a busy night that is where the leakage lives, and you will never find it later because there is no record to audit.
It does not know who these people are. A queue app holds first names for three hours and then forgets them. The guest who came four Tuesdays running and would have bought a membership never became a record you could reach.
It does not feed anything. Results evaporate when the session ends. Next week you are back to guessing skill level from memory, which is exactly the guess that produces lopsided courts and quiet complaints.
It leaves no attendance history. When you sit down to decide whether Thursday drop in earns its floor time, or how many drop in players converted to members last quarter, there is nothing to pull.

What to look for before you buy
The queue has to be live on more than one screen
If the rotation only exists on the host's phone, the host cannot play and the players cannot see it. Ask to see the queue on a wall display and on a player's own phone at the same time. If the answer is "we are working on that," you are buying a whiteboard with a login.
Check in has to be the moment money moves
This is the part almost everything else gets wrong. When a player scans in for open play, that is the moment a session should come off their package or a drop in charge should land. Not a note for the desk to reconcile later. We built check in this way because reconciling later is the same thing as not collecting.
Scores need to be confirmed, and disputable
Any system that lets one player type a result and calls it truth will collect garbage within a month, and any rating built on it is worthless. Confirmation from the other side, with a way to dispute, is what makes standings something players actually respect.
Guests have to end up somewhere
A first timer at open play is the cheapest lead your club will ever get. They already drove to your building. If your open play tool cannot turn that person into a tagged record you can segment and email, you are paying for floor time to generate leads and then throwing them away.
Common questions
Do we still need a separate system for court rentals?
You should not. Open play and court rental compete for the same floor, so they belong on the same calendar with double booking prevention across both. If drop in lives in one tool and rentals in another, somebody eventually sells court four twice on a Saturday.
What about players who will not use their phone?
Plan for them, because there will always be some. The desk should be able to add a player to the queue directly, and the wall display should show the rotation so nobody needs an app to know they are up next. The phone should be the fast path, never the only path.
We run open play on a spreadsheet. Is it worth moving mid season?
Depends on volume. Under twenty regulars a week, the spreadsheet is probably fine and your time is better spent elsewhere. Above that, the question is not whether the spreadsheet works on the night. It is how much unbilled play and how many uncontacted guests are sitting in it. Most operators we talk to have never counted, and the number is bigger than they expect.
